About this role | Mō tēnei tūranga

 

As Project Coordinator, you will work closely with Delivery Managers and project teams to ensure documentation, financial records, and project systems are accurate, up to date, and aligned with the Ministry’s processes. You'll manage data in systems like K2 and Helios, coordinate contract execution and approvals, facilitate meetings and reporting cycles, and support compliance with ministerial, health and safety, and procurement requirements.

 

This role will involve:

 

  • Coordinating and maintaining project records and workflows
  • Assisting in reporting, invoicing, and variation tracking
  • Supporting the integration of systems, templates, and processes
  • Liaising with internal teams including legal, procurement, construction, and portfolio functions
  • Promoting the Ministry’s infrastructure initiatives where appropriate

 

The Project Coordinator role is part of a dynamic and collaborative team that ensures infrastructure projects progress smoothly, ultimately supporting high-quality learning environments for every child in Aotearoa.

About you | Mōhou ake

 

To succeed in this role, you’ll bring strong coordination and communication skills, an eye for detail, and a proactive approach to problem solving. You’ll be comfortable working in a fast-paced environment and juggling multiple priorities.

 

You’ll play a key part in supporting the successful delivery of school property projects across New Zealand. You'll manage project documentation, financial processes, and support systems that underpin the Ministry’s Capital Works programme all while contributing to outcomes that matter for ākonga (learners) across Aotearoa.

You will also have:

 

  • Experience supporting project teams in a complex organisation
  • Solid skills in document management and financial processes
  • Proficiency in Microsoft Office (especially Excel)
  • Excellent organisational, interpersonal, and written communication skills
  • A collaborative mindset with a focus on continuous improvement
  • Awareness of Te Tiriti o Waitangi and a commitment to equitable outcomes for Māori
  • The ability and willingness to adhere to the Public Service Standards of Integrity and Conduct.

 

Experience with tools like K2, Helios, or Fusion is a plus but not essential. More than anything, we’re looking for someone who’s organised, dependable, and motivated to contribute to meaningful outcomes in the education sector.

The School Property group manages one of the largest property portfolios in Aotearoa New Zealand, composed of over 2,100 primary and secondary state schools and over 8,000 hectares of land with a carrying value of $33.5 billion. Our team is responsible for the portfolio, including school engagement, asset management, capital works delivery, investment planning and portfolio management.

 

We have a responsibility to invest in property solutions that demonstrate value for money while still delivering the right outcome for our schools and kura. Demand for new or improved school property across the country is high, and the way we meet these needs is to do so more efficiently. We have set financial and timeliness targets for our programme, and we’re looking to improve our planning and delivery, as well as working proactively and collaboratively with schools and the construction sector. This will ensure that our property projects deliver value and are part of an affordable and deliverable programme of works.

 

As part of the response to the Government’s decisions following the independent Ministerial Inquiry into School Property, the School Property group is now led by a Functional Chief Executive (FCE) for School Property, who reports directly to the Minister for Education. We also have put in place an improvement programme which responds to the Government's school property review recommendations.
